1. Introduction
Your Pets historY LLC ("we," "us," or "our"), a Florida limited liability company, is committed to protecting the privacy of our users. This Privacy Policy explains how we collect, use, disclose, and safeguard your personal information and your pet's health data when you use our mobile application and website (collectively, the "Service").
2. Information We Collect
- Account Information: Name and email address upon registration.
- Pet Health Data: Veterinary records, lab results, vaccination history, weight logs, imaging reports, biopsy reports, and uploaded documents you choose to store.
- Financial Documents: Receipts and itemized invoices you upload for insurance claim purposes. We immediately discard and never store full credit card numbers (PAN), debit card numbers, or CVV codes encountered in any document.
- Usage Data: App interactions and feature usage to improve our Service.
- Device Permissions: Camera and photo library access (only when you upload records); location access (only when using Emergency Vet Finder).
3. How We Use Your Information
- To provide and maintain the Service and your account.
- To organize and display your pet's health records.
- To use AI/automated processing to extract and summarize veterinary record data (see Section 8).
- To process subscription payments securely via Stripe.
- To communicate service updates, billing notices, and support responses.
- To send transactional emails related to your account (e.g., welcome emails, large-file processing notifications).
4. Data Storage & Encryption
- All uploaded files (PDFs, images, veterinary bills, receipts) are stored using AES-256 encryption at rest.
- All data transmission between the App and our servers uses HTTPS/TLS 1.2 or higher.
- We protect your data with industry standard security practices and never share your personal information with third parties without your consent.
5. Row-Level Security (Data Access Controls)
Your Pets historY enforces Row-Level Security (RLS) so that you can only access, read, update, or delete data you created. No other user can access your pet health records, uploaded receipts, or profile information. Administrators have read-only access to records solely for the purpose of customer support and cannot modify or delete your data. This is enforced at the database level.
6. Audit Logging
An automated, immutable audit log records the timestamp, User ID, and action (Create/Read/Update/Delete) for every interaction with health records and receipt data. This log protects both you and Your Pets historY LLC by maintaining an accurate record of all data interactions. Users cannot edit or delete their own audit history.
7. Authentication & Session Security
- User authentication is handled by our platform with industry-standard security practices.
- We recommend using strong, unique passwords for your account.
- Session timeout policies are in place to automatically log users out after periods of inactivity to protect sensitive information on shared devices.
8. Automated Processing & AI Disclosure
Your Pets historY uses AI and automated processing to read uploaded veterinary documents, extract structured health data, and generate plain-language summaries. This processing is performed solely to organize your records and does not constitute medical advice. All AI outputs should be verified against original documents and reviewed by a licensed veterinarian. Your data is never used to train external AI models.
9. PCI Compliance & Payment Card Redaction
Our AI pipeline is configured to immediately identify and discard any full Primary Account Numbers (PAN — typically 13–19 digit credit/debit card numbers) and CVV codes found in uploaded documents. These values are never stored in our database. Partial masked numbers (e.g., "XXXX-1234") may be retained as invoice identifiers only. Payment processing is handled exclusively by Stripe, which maintains PCI-DSS Level 1 compliance. We never store your full card number on our servers.
10. Third-Party Services
- Stripe: Payment processing. Governed by Stripe's Privacy Policy.
- Postmark: Transactional email delivery for account notifications.
- AI Processing: Record extraction uses AI services. Data is processed solely to provide app functionality and is not shared with third parties or used to train external models.
- Crisp: In-app chat support widget. Governed by Crisp's Privacy Policy.
11. Your Rights & Data Deletion
You may request deletion of your account and all associated data at any time via My Account → Delete Account. All pet health records, uploaded files, and personal data are permanently deleted immediately upon request. Account access is revoked within 24 hours. You may also email us to request a data export or correction at support@yourpetshistory.com.
Beta Tester Lifetime Access: Beta testers who participated in the early access program prior to public launch are granted free lifetime access to YourPetshistorY at the Pro tier level. Their data is stored, protected, and treated identically to that of paid subscribers. This benefit is non-transferable and applies only to the original account holder.
11.1 Beta Tester Access and Data Treatment
Individuals who participated in the beta testing program for Your Pets historY prior to general availability are granted free lifetime access to the Service at the subscription tier active at the time of their beta participation. Beta tester accounts will not be subject to future subscription fees for the features available during their beta period. The personal data and pet health records of beta testers are collected, stored, processed, and protected in exactly the same manner as data belonging to paid subscribers. Beta testers receive no lesser data protection, privacy rights, or security measures than any other user of the Service.
12. Children's Privacy
Our Service is not directed to children under 13. We do not knowingly collect personal information from children. If we become aware that a child under 13 has provided personal information, we will take steps to delete it.
13. Changes to This Policy
We may update this policy periodically. We will notify you of significant changes via the App or email. The current effective date is always displayed at the top of this page. Continued use of the App after changes constitutes acceptance of the revised policy.
14. Governing Law
This Privacy Policy is governed by the laws of the State of Florida. Your Pets historY LLC operates under Florida law as a registered limited liability company.
15. Practice and B2B Privacy Terms
Co-branding
When a client signs up through a practice code, their account displays practice branding. The practice is notified of new signups but does not receive any personal health data.
Aggregate Data
Practices receive only aggregate statistics such as total active clients and signup counts. No individual client records, diagnoses, lab results, or personal information is shared with practices.
Client Rights
Clients may switch from a practice account to a personal account at any time. Clients may also switch to a different practice.
Data Portability
Clients may export or download their pet health records at any time regardless of how they signed up.
Practice Code Storage
The practice code used during signup is stored and associated with the client account for billing and co-branding purposes only.
Beta Tester Lifetime Access
Users who participated in the beta program receive free lifetime access to all pro features. Their data is treated identically to paid subscribers with no restrictions.
Deceased Pet Data
When a pet is marked as deceased, the records are archived and retained for the lifetime of the account. Archived records are not deleted and remain accessible to the pet owner.
Data Retention
If a subscription is cancelled, account data is retained for 12 months before permanent deletion. Users will receive an email notification 30 days before any data deletion occurs.
15.1 Veterinary Practice Data Access
When you join YourPetshistorY through a veterinary practice using a practice code, the following terms apply: Your veterinary practice has read-only access to your pet health records for the purpose of supporting your veterinary care. You will be asked to provide explicit consent to this access upon your first login. You may remove practice access at any time by upgrading to a private YourPetshistorY plan. If your veterinary practice discontinues your free account, you will receive an email notification and have 14 days to upgrade to a private plan before your data is permanently deleted. You will receive a reminder email one day before deletion. YourPetshistorY does not share your records with any party other than your associated veterinary practice.
